First of all, you need to obtain an EORI (number (Economic Operators Registration and Identification system). You can find out where to obtain an EOR number at ec.europa.eu. The EORI number is usually created based on the VAT number. Without an EORI number, customs clearance cannot be carried out. The registration process can be performed directly by your company or delegated to a customs agent based on a signed authorization form

Authorization for the customs agency, sales invoice, goods specification / packing list (if the invoice does not contain all required information, e.g., net and gross weight of goods), declaration of transport costs or transport invoice from the carrier. Depending on the requested procedure and the nature of the goods being cleared, other documents may be required (e.g., a declaration of origin or a certificate when applying for a reduced customs duty rate for import), about which the agent preparing the customs clearance will provide information. The obligation to present other documents may arise from separate regulations, e.g.,

  • SANEPID and WIJHARS certificate for agri-food products;
  • veterinary certificate for products of animal origin;
  • CE manufacturer’s declaration for, among others: toys, electrical machinery and equipment, lighting, protective equipment, etc.;
  • phytosanitary certificate for wood and wooden packaging;

This depends on the legal form of the business activity. For example, in the case of a sole proprietorship, only the business owner can sign the authorization. In the case of civil partnerships, all partners sign the authorization. In the case of commercial law companies – e.g., limited liability companies – the method of representation of the entity specified in the National Court Register (KRS) is decisive.

  • Details of the seller – invoice issuer and buyer, including full name and address, and tax identification number for an entity based in the EU.
  • Invoice number and date of issue.
  • Precise description of goods (if the description on the invoice does not allow for unambiguous tariff classification, i.e., assignment of a CN code customs tariff, a detailed description should be included in the attached specification).
  • The currency in which the transaction is made.
  • Unit price, quantity, and value of goods in the invoice currency.
  • Country of origin of goods (Country of Origin) if not indicated in other documents or not marked directly on the goods’ packaging.
  • Delivery terms according to Incoterms, if the price of the goods also includes other costs (e.g., transport).

Once customs clearance has been successfully completed, you will receive electronic confirmation of this. The documents are sent to the specified e-mail address.
We typically send:
1. Import (import of goods into the EU):
Once import clearance has been completed, you will receive electronic confirmation in the form of a ZC299 message, also known as a Certified Customs Declaration (PZC), which is an electronic document confirming that the goods have been released for customs clearance on import. The ZC299 message contains information about the transaction, such as the importer’s and exporter’s details, the type of goods, weight, country of origin and destination, and the amount of customs and tax duties.
2. Export (export of goods from the EU):
In the case of export, confirmation of completion of the export procedure is provided by IE599 message (Confirmation of export of goods), which confirms that the goods have physically left the territory of the European Union. This document may be required, for example, to apply a 0% VAT rate.
